POSITION CLASSIFICATION: Full-time, Non-Exempt

GENERAL RESPONSIBILITIES: The Administrative Assistant works with the Dean to maintain financial records, manage the purchasing process, reconcile monthly budgets, and oversee room scheduling in the School of Creative Arts. Additional duties include organization of student and faculty records; participation in publicity initiatives; processing routine and special reports; and oversight of School of Creative Arts office, including maintaining phone line, office and work room oversight, greeting visitors, assisting faculty and students, and organizing special projects as assigned. This position will also supervise student workers assigned to the Creative Arts office.
SPECIFIC TASKS AND DUTIES:
- Assist with School of Creative Arts financial records, including reconciling monthly budgets and credit card reports while tracking expenditures across multiple accounts in the School budget
- Assist with payroll for adjunct faculty, School of Creative Arts student workers, and Academy of Fine Arts teachers
- Assist with preparation of routine and special reports, sometimes including significant data entry
- Manage supplies for School of Creative Arts office, work room, and break room
- Maintain phone line/answer email tactfully and courteously, process calls/emails to appropriate faculty/staff as necessary
- Greet visitors, prospective students, and community members in a tactful and courteous manner
- Serve on the 猎奇重口视频 Friends of the Arts Board in an ex officio capacity
- Demonstrate confidentiality, integrity, and empathy in all situations
- Assist with special projects as requested

MINIMUM QUALIFICATIONS:
Education: Bachelor’s degree is preferred.
Experience and Knowledge:
- Office-related experience
- Experience maintaining financial records
- Experience working in an arts organization or department (K-12 or higher education preferred).
Skills and Abilities:
- Must know or be willing to learn multiple computer and software applications, including but not limited to Microsoft Word, Excel, and Adobe Acrobat.
- Must have excellent written and verbal communication skills
- Must have excellent time-management skills
- Must be self-motivated and have the ability to think critically and independently
- Must be able to balance a variety of tasks simultaneously and structure tasks over extended periods of time
- Must be able to work as an integral member the School of Creative Arts faculty/staff team

Work Environment: The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers. The office maintains a controlled temperature. Noise levels are generally moderate, with typical office sounds such as conversations and office machinery. Musical sounds from other classrooms and offices are likely to occur throughout the day.
Hours of Work: Plainview campus - Although full-time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full-time salaried employees is forty (40) hours. Normal work days are Monday through Friday, 8:00am-5:00pm.
Physical Demands:
- Frequently stand and walk;
- Frequently flex upper trunk forward while sitting or standing;
- Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;
- Frequently carry up to 10 pounds and occasionally carry up to 25 pounds;
- Occasionally push or pull objects;
- Occasionally flex upper trunk forward at the waist and partially flex at the knees;
- Frequently reach at or below should height, and occasionally reach above shoulder height
CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel and provide recruitment assistance to external campuses. Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license. Must have and maintain a satisfactory driver’s record.
